Teams and resources

How datasets, KPIs, figures, dashboards and collections are shared with teams.

In short

A team is a group of people in an organization, such as Sales, Finance or the data team. Each member has a team role. Resources (datasets, document collections, KPIs, figures and dashboards) are shared with teams, action by action. The team preset sets the most a team can do on a resource; each team role then gets all or part of it.

Teams

  • A team belongs to one organization. Joining a team also makes you a member of its organization.
  • Each member has a team role, for example the Admin role, which the creator of a team gets, or roles created for the team.
  • Team administrators invite members, change their roles and manage the team's resources, on the team's page.

Resource types and their rights

ResourceRights
DatasetView, Explore, Create validation, List validations, Quality, List KPIs, Ask AI, Create alert, List alerts
Document collectionView, Browse, Ask AI
KPIView, Smart Cockpit
FigureView
DashboardView, Edit, Export, AI summary, Archive, Delete

Each right opens one thing. For a dataset, View opens its page, Explore opens its rows, Ask AI lets Chat and the metadata generation use it.

The team preset

When a resource is attached to a team, two things happen:

  1. The team preset receives the default rights for that type of resource. The preset is the most the team can do on the resource.
  2. Every role of the team receives the same rights.

Default rights when a resource is attached:

ResourceDefault rights
DatasetEvery right except Create validation
Document collectionEvery right
KPIView, Smart Cockpit
FigureView
DashboardView, Export, AI summary

Detaching a resource from a team removes the preset and every role's rights on it. The resource itself is not deleted.

Rights per role

On the team's Resources tab, open a resource to adjust what each role can do.

  • A role can receive less than the preset, never more: role grants cannot exceed the team preset.
  • A new role can copy the resource rights of an existing role.
  • When you belong to several teams, your rights add up: one team granting Explore is enough.

Owner and editors

Datasets, KPIs, dashboards and document collections have an owner and editors; a figure has its creator and editors.

  • The owner and the editors maintain the resource: description, documentation, and for a dataset its layer and validation rules.
  • They must belong to a team the resource is shared with.
  • The creator, the owner and the editors can choose which teams the resource is shared with.

Personal and shared

Some resources can stay private before they are shared:

  • a KPI is Personal (only you) or Shared with teams;
  • a figure is Private or Shared with chosen users or teams;
  • a dashboard can be archived, then restored.

Favourites, pins and history

  • Favourites mark the resources you use often in their catalogue.
  • Pinned resources appear at the top of the sidebar.
  • Recently viewed lists the resources you opened last.

These are personal: they change nothing for your teams.

FAQ

I gave a role a right, but the member still cannot use it. Why? Check the team preset: a role cannot receive more than the preset. Also check that the member's organization role includes the feature.

Can a resource be shared with several teams? Yes. Each team has its own preset and role rights on it.

Why can't I choose this person as owner? The owner must belong to a team the resource is shared with. Share the resource with one of their teams first.
